1. Business Compliance
- Vendors are responsible for complying with all applicable South African laws and municipal by-laws.
- Businesses must hold any licences, permits or registrations required for their products or services.
- Rotary BizEast may request proof of compliance at any time.
2. Food Vendors
- Food vendors must comply with all food safety and hygiene regulations.
- Staff handling food must maintain good hygiene and wear appropriate protective clothing.
- Food must be stored at safe temperatures.
- Vendors must keep their stand clean at all times.
- Used cooking oil, food waste and grease may not be disposed of on site.
- Vendors are responsible for obtaining any certificates required by the local municipality.
3. Product Safety
- No counterfeit, illegal, unsafe or prohibited goods may be sold.
- Products must comply with applicable consumer protection legislation.
- Rotary BizEast reserves the right to remove prohibited products immediately.
4. Public Liability
- Vendors operate entirely at their own risk.
- Rotary BizEast accepts no responsibility for loss, theft, damage or injury arising from a vendor's participation.
- Vendors indemnify Rotary BizEast, the Rotary Club of Johannesburg, sponsors and the venue against claims resulting from their activities.
5. Insurance
- Vendors are encouraged to carry appropriate public liability and product liability insurance.
- Rotary BizEast may require proof of insurance for higher-risk exhibitors.
6. Electrical Safety
- All electrical equipment must be safe and in good working order.
- Vendors using generators must ensure they are properly maintained and operated safely.
- Extension leads must be suitable for outdoor use and secured to prevent trip hazards.
- No unauthorised connection to venue power is permitted.
7. Fire Safety
- No open flames without prior written approval.
- Gas cylinders must comply with South African safety standards.
- Fire extinguishers must be available where required.
8. Stand Requirements
- Vendors must remain within their allocated space.
- Displays must be secure and not create hazards.
- Walkways and emergency exits must remain clear.
9. Waste Management
- Vendors must keep their area clean throughout the event.
- All rubbish must be removed or placed in designated bins before departure.
- Failure to clean the stand may result in exclusion from future events.
10. Branding & Conduct
- Businesses must behave professionally and respectfully.
- Offensive language, discrimination, harassment or aggressive selling will not be tolerated.
- Rotary BizEast may remove any exhibitor whose conduct damages the reputation of the event.
11. Intellectual Property
- Vendors may only display logos, trademarks and products they are legally entitled to use.
- Vendors remain responsible for any copyright or trademark infringement.
12. Right of Removal
- Rotary BizEast reserves the right to refuse entry, relocate or remove any vendor who:
- breaches these rules;
- creates a safety risk;
- sells unauthorised products;
- behaves in a manner detrimental to the event.
13. Photography & Marketing
- Vendors consent to photographs and video being taken during the event for Rotary BizEast promotional purposes.
14. Cancellation
- Rotary BizEast reserves the right to postpone or cancel the event due to circumstances beyond its control, including severe weather, safety concerns or force majeure.
15. Declaration
I have read and understood these Vendor & Exhibitor Compliance Rules and agree to comply with them. I understand that failure to do so may result in my stand being closed without refund.
